The following support solution will provide you guidance on how you can share classroom recordings with your students after a successful recording has completed and been uploaded to Kaltura. There are multiple options for this and you may use whichever best fits your needs. To request a classroom recording, please email lawhelp@wfu.edu with all the necessary information, course date, location, start time, end time, etc.


Kaltura Classroom Recording Sharing Options

Option 1: Share recording with the entire class (Recommended)

Option 2: Share recording with individual students

Option 3: Share recording via link anyone can access


*NOTE: We are able to automatically upload all classroom recordings to the "Kaltura Media Gallery" section of your Canvas course where all students enrolled in the Canvas course will have access to view them, if you would like to have your class recordings set to automatically be shared via the "Kaltura Media Gallery" please reach out to us at lawhelp@wfu.edu to formally request this and be sure to include the course title as well as the course number and section you are requesting


Option 1: Share recording with the entire class (Recommended)


Step 1: Navigate to the Canvas course for the class you had recorded.


Step 2: In that course, select the "Settings" menu.


Step 3: On the settings screen, select the "Navigation" tab.


Step 4: Find the "Kaltura Media Gallery" menu option. If it's not already enabled, drag it to the active navigation items or select the three dots to the right and choose the "Enable" option and then click "Save" at the bottom of the page.




*By default, the "Kaltura Media Gallery" will be empty. This is where you will populate class recordings for students.


Step 5: Return to the course home page and select the "Kaltura Media Gallery" link in your navigation menu to open it.




Step 6: In the Kaltura Media Gallery, click the "Add Media" button to access your Kaltura recordings which will include completed classroom recordings.




Step 7: Search for the class recording you want to share with students. If it does not default to this option, choose "Creation Date - Descending" from the Sort By drop-down menu to have your most recent recordings displayed first. You may also search using the course title or course number. All class recordings for a course will have the same name, so it is important to verify that the date of the recording is correct.




Step 8: Find the recording you want to share, put a check in the box to the left of the recording, and then click the "Publish" button at the top of the page.




Step 9: You will be taken back to the "Kaltura Media Gallery" and should now see the class recording listed there. If it's not listed, try refreshing the page.


Step 10: Once you verify the recording is listed, it is now accessible to your students. To access the recording, they should go to the "Kaltura Media Gallery" for the Canvas course.


NOTE: You must repeat steps 5 through 10 for each new class recording that you want to make available to students


NOTE: Instructors will not be able to view media through “Student View” because Kaltura authenticates users, Kaltura does not recognize an authentication when you view your course through the Student View, this is working as designed



Option 2: Share recording with individual students


Step 1: Go to your Kaltura "My Media" at https://wakeforest.mediaspace.kaltura.com/my-media you may have to log in with your Wake Forest Google account.


Step 2: Search for the class recording you are needing to share with the student, you may use the "Sort By" option to set the creation date to descending to have your most recent recordings display first, you may also search using the course title or number as well, just be sure you verify the date of the recording listed is correct and not an older recording of the same class.



Step 3: When you find the recording you need to share click the pencil icon to the right to open a menu to edit the access.


Step 4: Select the "Collaboration" tab.



Step 5: Select the "Add Collaborator" button.



Step 6: Select the "Co-Viewer" option, enter the students @wfu.edu email address, and click the add button to give them viewer access to the class recording.



Step 7: The student now has access to view the recording via their Kaltura account, you can simply direct them to https://wakeforest.mediaspace.kaltura.com/my-media where they can log in, search for, and watch the recording.



Step 1: Go to your Kaltura "My Media" at https://wakeforest.mediaspace.kaltura.com/my-media, you may have to log in with your Wake Forest Google account.


Step 2: Search for the class recording you are needing to share with the student, you may use the "Sort By" option to set the creation date to descending to have your most recent recordings display first, you may also search using the course title or number as well, just be sure you verify the date of the recording listed is correct and not an older recording of the same class.




Step 3: When you find the recording you need to share click the title of the recording to open its options menu.




Step 4: In the recordings menu select the "ACTIONS" drop-down and choose the "Publish" option.



Step 5: Select the "Unlisted" option for the Publishing Status and then click the "Save" button.



*Note: By publishing the recording as "Unlisted" this opens access to the recording so anyone in the world who has a link to the recording would be able to view it 


Step 6: You will get a success message in green when the recording is published, now select the "Share" tab on this same screen.



Step 7: On the share screen you should by default be on the "Link to Media Page" tab where you will now find the link to your Kaltura recording, you can simply copy that link and share that with your students or anyone else who may need to view the recording.


*Note: The recording is not searchable within the system but anyone who has the link will be able to view this recording.



You have now successfully shared a Kaltura classroom recording with your students.
